Booking Guidelines

This summary highlights key obligations that apply to all bookings made through the anyspaces.com platform.

It must be read together with your licence Agreement, Electronic Booking Form, and applicable Regional Schedule.

1. Booking & Payment

  • Your booking must be confirmed and fully paid before arriving on-site.
  • Access may be denied if payment has not cleared.
  • All booking details must match the approved Electronic Booking Form.

2. Use of the Space

  • The space may only be used for the approved purpose from your campaign information.
  • No changes, installations, or alterations are permitted without prior written venue approval.
  • All items must be removed and the space reinstated at the end of the booking.

3. Set-Up, Trading & Pack-Down

  • Set-up access is generally available up to 3 hours before venue opening, unless otherwise approved.
  • Your activation must be fully operational by opening time and trade during all venue hours.
  • Pack-down and reinstatement must be completed within 3 hours of venue closing, unless otherwise approved.

4. Compliance & Safety

You must comply with:

  • WHS laws and safety requirements;
  • local council and regulatory approvals;
  • venue rules, emergency procedures, and inductions.

Directions issued by venue management or authorities must be followed immediately.

5. Staff & Behaviour

  • All staff must be professional, appropriately presented, and compliant with venue standards.
  • Aggressive, pushy, or disruptive behaviour is not permitted.
  • Calling out to customers or obstructing walkways is prohibited.
  • Unless approved, a maximum of two (2) staff may operate at the space at any time.

6. Check-In & Access Control

  • All onsite staff must check in daily via the anyspaces.com app.
  • Failure to check in or out correctly may result in access restrictions.

7. Equipment & Property

  • Venue-provided equipment must be collected and returned using the QR Code process.
  • Equipment must be returned in the same condition.
  • Damage, loss, or failure to return equipment may result in additional charges.

8. Communication

All booking-related communication must occur via the anyspaces.com platform.

This includes:

  • requests, approvals, changes, or variations;
  • access, set-up, operational, or pack-down matters; and
  • issues, disputes, or complaints relating to the booking.

Verbal approvals or communications outside the platform are not valid or recognised.

Using the platform ensures:

  • instructions and approvals are clearly recorded;
  • issues can be resolved efficiently; and
  • compliance with venue and platform requirements is maintained.

If you experience any issue during your booking, please raise it promptly through the platform so it can be addressed appropriately.

9. Activity-Specific Compliance Requirements

The following additional requirements apply depending on the nature of your activation. These obligations apply in addition to all other terms of your booking.

Retail Activations:

  • Pricing, refund, and exchange policies must be clearly displayed.
  • All applicable consumer and retail trading laws must be complied with.
  • Certificates of authenticity must be provided where legally required.

Food & Beverage Activations:

  • A valid Food Health and Safety certificate must be uploaded to the Platform in your campaign and displayed at the activation at all times.
  • Additional local council or health authority approvals may be required.
  • Compliance with food handling, storage, and hygiene laws is mandatory.

Vehicle Activations:

  • Vehicles must remain immobile, secured, and switched off at all times.
  • Fuel levels must be minimal unless otherwise approved in writing.
  • Wheel chocks, tyre pads, and protective measures must be used.
  • Refuelling, recharging, or vehicle movement requires prior written venue approval.
  • Vehicle keys must be securely controlled at all times.

Decals, Signage, Stands & Installations:

  • All decals, signage, stands, and installations must be professionally installed and removed.
  • Installation and removal must occur outside venue trading hours, unless otherwise approved.
  • Signage must not obstruct sightlines, entrances, emergency exits, or safety signage.
  • Visibility for surrounding tenants must be maintained at all times.
  • Materials must comply with venue, fire, and safety standards.

Removal & Reinstatement:

  • The Licensee is solely responsible for the complete removal of all decals, signage, stands, fixtures, and materials at the end of the booking.
  • The Licensed Area must be fully reinstated to its original condition, fair wear and tear excepted.
  • Any removal, cleaning, repair, or reinstatement required due to failure to comply may be carried out by the venue or anyspaces.com at the Licensee's cost.
  • Associated costs may be charged to the Licensee without limitation.

10. Venue Authority

  • Venue permissions may change due to operational, safety, or regulatory reasons.
  • The venue may require modification or cessation of activity at any time.
  • Such directions do not entitle you to a refund unless required by law.

11. Non-Compliance Consequences

Failure to comply may result in:

  • immediate cancellation of the booking;
  • suspension or termination of platform access; and/or
  • removal from the anyspaces.com platform.

Final Reminder

Failure to comply with these Guidelines may result in suspension or termination of your booking and/or platform access. In the event of any inconsistency, the applicable agreement, Electronic Booking Form, or Regional Schedule prevails.
